Job Summary:

The Business Analyst (Order Management) is a key contributor and the direct line of contact for customers during the sales order process, responsible for setting expectations, and providing a high-level of customer engagement and satisfaction.  In this role, the mindset is detailed and analytical, continually assessing current practices to optimize the sales order process.  The core responsibilities are customer and inter-departmental interaction, entering database quotes, order accuracy, the collection of payment, order tracking, data administration and maintenance of portal reporting accounts.  The Business Analyst (Order Management) is a driving force for operational excellence, and reports to the Director of Operations.



-Communicate directly with new and existing customers, the sales team, order fulfillment, and accounting team during the sales order process

-Set customer expectations regarding order summary, timeline, and tracking

-Understanding and retaining product knowledge including Bill of Materials, computer components, and software

-Sales order validation and entry

-Oversee the customer welcoming process, by sending and following through with the customer “Welcome Packet”

-Process customer and account source documents by reviewing data for deficiencies; resolve discrepancies by using standard procedures

-Manage customer order tracking numbers; inform customer of shipping date and/or if something is missing from the order or if there is a possible delay

-Enter and maintain accurate and up to date customer information in account database on the Portal, Acrelec Assist, and Top Desk Reporting website

-Run and pull reports in QuickBooks

-Work inter-departmentally to resolve any customer order-related issues or concerns

-Analyze, review, and use customer survey results and data for business and process improvement

-Determine operational objectives by studying business functions; gathering information; evaluating output requirements and formats

-Work hand in hand with pricing team to configure BOM’s and deliver market driven pricing

-Construct workflow charts and diagrams; studying system capabilities; writing specifications

-Improve systems by studying current practices, designing modifications

-Recommend controls by identifying problems, writing improved procedures

-Suggest changes to senior management using analytics to support your recommendations

-Actively participate in the implementation of approved changes



-BA/BS degree required

-Must be proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

-Proficiency in QuickBooks

-Exceptional customer service skills: respond promptly to customer needs and meets commitments
